Hot lead: clear need, ready to act
updated 17 October 2026
A hot lead is a prospect who has a clear need, fits what you sell, and has a reason to act soon, often within days or weeks. Hot leads are the ones sales should contact first, because the window is short and other vendors are likely talking to them too.
Teams usually sort leads into cold, warm and hot. Cold leads fit but show no interest. Warm leads show interest. Hot leads show intent and urgency.

Why it matters for B2B teams
Most leads in a pipeline aren't hot, and treating them all the same wastes the few that are. Recognising heat quickly changes the order of the day: a hot lead deserves a reply within the hour, not a slot in next week's sequence.
Common signs of a hot lead:
- A stated need. "We need", "looking for", "can anyone recommend".
- A deadline. A renewal date, a launch, a tax deadline, "by next month".
- A trigger. A provider quit, a tool broke, a team doubled.
- Specifics. Team size, budget, must-have features.
- A comparison. They've shortlisted options and are choosing.
One sign alone is weak. Two or three together usually mean the lead is hot.
How it shows up in public posts
Hot leads often reveal themselves in one public post. Sample sentences, scored 0 to 100 for buying intent the way HearBuyers scores posts:
- Sample, score 98. "I need a short wedding video edited urgently for this weekend. Clips are picked, just need transitions, music and colour." Need, deadline and scope.
- Sample, score 71. "Thinking of hiring someone to edit our event videos going forward." Warm, with a stated intent but no deadline. Just over the default threshold of 70.
- Sample, score 0. "Video editor, available for weddings this month!" A seller.
The first sample paraphrases a request our video editing scan found on 2026-10-16. That niche had the most requests of any we scanned, 90 in total, all on Reddit.
Common mistakes
- Slow response. A hot lead cools fast. Speed matters more than polish.
- Calling every inbound lead hot. A newsletter signup isn't hot. Look for need plus urgency.
- Missing hot leads outside your funnel. Many urgent requests are posted in communities, not sent through your form.
- Pitching instead of solving. Hot leads want their problem handled. Show you can do it.
